Enfield House is a holiday cottage in Saundersfoot, Pembrokeshire, owned and let directly by Matthew and Claire Shaw (“we”, “us”, “our”). We are the data controller for the personal information described in this policy.

What information we collect

When you send an enquiry or booking request through our website, by email or by phone, we collect:

your name, email address and telephone number;
your requested dates, number of guests and number of dogs;
anything you tell us in your message.

When you book with us, we may also collect:

your postal address;
the names of the people staying with you;
payment details, such as the bank account a payment came from or a refund goes to (we do not store card details);
information you choose to share to help with your stay, such as accessibility needs or details of an assistance dog;
records of our correspondence with you.

When you visit our website, our web hosting provider automatically records technical information such as your IP address, browser type and the pages you visit, for security and to keep the site running.

How and why we use your information

We use your information to:

reply to your enquiry and send you a quote (legal basis: steps before entering into a contract, at your request);
manage your booking, take payments, arrange access to the Property and handle any refunds or damage deposit (legal basis: contract);
contact you before or during your stay about your booking (legal basis: contract);
keep financial records for tax purposes (legal basis: legal obligation);
keep our website secure and deal with any complaints or disputes (legal basis: legitimate interests).

We will not send you marketing emails unless you have asked us to, and you can ask us to stop at any time. We never sell your information.

Who we share it with

We only share your information where needed to run your booking or our business:

Our cleaner or local representative, who may be given your name, arrival and departure dates and number of guests or dogs, so the Property is prepared and they can help if needed;
Service providers who support our business, such as our website hosting and email providers, Google (for website analytics, only if you accept analytics cookies) and our bank;
Our accountant and HMRC, for tax and accounting purposes;
Others where the law requires it, for example the police or local authority.

If you book Enfield House through a letting agency or booking platform, that company will also hold your information under its own privacy policy.

Where your information is stored

Your information is held on our secure email account, website and devices. Some of our service providers may store data outside the UK. Where they do, we rely on their use of legal safeguards approved under UK data protection law.

How long we keep it

Enquiries that do not become bookings: up to 12 months, then deleted.
Booking and payment records: 6 years after the end of the tax year of your stay, as required for tax purposes.
Website form submissions: deleted from the website once copied to our booking records.

Cookies

Cookies are small files placed on your device when you visit a website. We use two types:

Essential cookies, which the website needs to work properly and stay secure, and to remember your cookie choices. These do not need your consent.
Analytics cookies from Google Analytics, which tell us how visitors find and use our website, such as which pages are viewed and roughly where visitors are located. This helps us improve the site. These cookies (named _ga and _ga_ followed by a code) last up to 2 years and are only set if you accept them (legal basis: consent).

When you first visit our website you can accept or reject analytics cookies using our cookie banner. You can change your choice at any time using the cookie settings link on our website, or by clearing cookies in your browser. Rejecting analytics cookies will not affect how the website works.

Google Analytics data is processed by Google on our behalf and may be transferred to and stored in the United States, under safeguards approved by UK data protection law. We do not use it to identify you personally. You can read more at policies.google.com/privacy.

Our Virtual Tour page links to Matterport, and our site may link to other websites. Those sites have their own privacy and cookie policies.

Your rights

Under UK data protection law you have the right to:

ask for a copy of the information we hold about you;
ask us to correct anything that is wrong or incomplete;
ask us to delete your information, where we no longer need to keep it;
object to or ask us to restrict how we use your information in some circumstances;
ask us to transfer your information to someone else in some circumstances.

To use any of these rights, email hello@enfield-house.com. We will respond within one month. There is normally no charge.

Complaints

If you are unhappy with how we have handled your information, please contact us first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated at the top.
